Privacy Policy
Last updated: 4 November 2026. Written with the Protection of Personal Information Act 4 of 2013 (POPIA) in mind.
1. Responsible party
MyFMS (Farm Management System), a subsidiary of Mpande Farms, Johannesburg, Gauteng, 2001, South Africa. Information Officer: Bongani Dlamini, [email protected].
2. What we collect
- Farm owners: name, email address, password (stored encrypted by our login provider), farm name, and payment status. Card details are entered on PayFast and are never seen or stored by MyFMS.
- Workers (added by the farm owner): name, job roles, optional phone number, an encrypted PIN, and the times they log in and complete tasks.
- Farm records: chicken houses, batches, deaths, weights, feed, vaccinations, livestock counts and treatments, sick-animal reports, photos and sales.
- Technical: basic logs needed to run and secure the service.
3. Why we use it
Only to provide MyFMS: showing tasks and records, sending the alerts and reports you choose, processing subscriptions, giving support and keeping the service secure. We do not sell personal information and do not use farm data for advertising.
4. Workers' information
The farm owner decides which workers to add and is responsible for telling their workers that MyFMS records their logins and completed tasks for work-management purposes.
5. Who we share it with (operators)
- Supabase – database and login hosting.
- Cloudflare – website hosting.
- Brevo – sending alert and report emails.
- PayFast – processing subscription payments.
Some of these providers store data outside South Africa (for example in the European Union). We use providers that protect personal information to a standard comparable to POPIA.
6. Security
Each farm's data is kept separate, all connections are encrypted, PINs and passwords are stored encrypted, and workers cannot see the owner's sales figures or change the setup.
7. How long we keep it
While your account is active, and for up to 12 months after it ends (unless you ask us to delete it sooner or the law requires longer, for example invoices and payment records).
8. Your rights
You may ask to see, correct or delete your personal information, or object to how it is used, by emailing [email protected]. You may also complain to the Information Regulator (South Africa): inforegulator.org.za.
